BOOKINGS & CANCELLATION POLICIES

 

HOW DO I SECURE MY PARTY BOOKING?

We require a $100 deposit to be paid within 24 hours of us sending your invoice & booking confirmation. The remaining balance is due the Monday the week of your party. Party entertainment cannot be confirmed until payment in full is received prior to the party/event date.

 

HOW DO I MAKE PAYMENT?

Payment can be made via the link on your confirmation email. We accept Visa and MasterCard credit card payments. Please note, credit card payments incur a small surcharge.

 

WHEN DO I PAY THE BALANCE?

The remaining balance is due the Monday the week of the party event and you will receive a tax receipt once received. You may pay from the original link sent or transfer to the Little Party Faces account. Please quote your name and invoice number when making bank transfer payments.

 

WHAT IS YOUR BOOKING CANCELLATION POLICY?

Please understand, as a local small business, we have a limited number of entertainers and your performer has committed to your little one's special day and time-slot. We are fully booked most weekends, so we would have declined other bookings in order to stay committed to yours. Thank you for your understanding that as a professional and honest small business we must adhere to the below cancellation policies.

 

  • If you cancel your event within 14 days of your booking you will forfeit your $100 deposit. Any payments made on top of your deposit will be added as a credit note for use within the next 18 months. Please note that the deposit helps to cover any performer cancellation fees, administration costs and the time we spend on servicing your special party entertainment booking.

  • Cancellations within 72hrs of your booking will not be eligible for a refund.  50% of the party fee will be forfeited (50% cancellation fee) with the remaining balance paid as a credit note valid for up to 18 months.   Please understand that by this stage a lot of work has gone into your party, we coordinate our beautifully bespoke costumes, ensure the right entertainers are staffed, adhere to performer cancellation fees and we have declined other work to stay true to your booking. It is for this reason we are unable to offer any refunds within 72 hours of your event.

We understand that last minute things can happen, ie your little ones get sick, tragedy strikes or extreme weather throws your plans out. However, in all late cancellation cases, we are unable to provide a refund as we have already prepared for your party well in advance; your performer has committed to your little one's special day, we have prepared and sent the costumes to the Entertainers, we have briefed your Entertainers specifically for your party needs & sometimes we have even run additional training.  Plus there are administration costs and we’ve more thank likely refused other bookings to stay committed to yours. It makes it very difficult for us and very unlikely we are able to get any work with a last minute cancellation. Thank you for your understanding that as a professional and honest business must adhere to his cancellation policy. We provide a very lengthy credit note of 18 months duration for your convenience.

CAN I RESCHEDULE MY BOOKING?

If you would like to reschedule your event, we will try our best to accommodate and find a solution. A Rescheduling Fee of $50 will be incurred for rescheduling within 14 days of your booking.  If we are unable to reschedule your event date and you wish to cancel you booking then the cancellation policy will apply.

CAN I DOWNGRADE MY BOOKING?

Please let us know if you would like to downgrade your booking and we will do our best to accommodate you. Any downgrades within 72 hours of your booking are not refundable.

I HAVE TO CANCEL MY BOOKING FOR PERSONAL REASONS. CAN YOU HELP?

  • If your party is affected by extenuating circumstances; please provide proof of your circumstances and we will endeavour to reschedule your party. You will forfeit your $100 deposit as an admin fee to cover administration costs/efforts and the rest we will credit note to your account to use with us for 18 months time. Due to the ever changing environment and circumstances affecting small businesses please respect that we are unable to provide refunds but really look forward to rescheduling and putting smiles on little faces again soon.

  • During the booking process please read the agreement terms and conditions carefully. When booking and paying your deposit you enter into a contractual agreement with us to abide by our T&C’s.

WHAT IS YOUR CORPORATE CANCELLATION POLICY?

  • Please note that we require a 50% deposit for all Corporate Little Party Faces bookings. This deposit is non-refundable and charged in the event of any cancellation.

  • Less than 7 days notice then 50% of your balance will be charged.

  • Less than 72 hours notice then 100% of the booking fee will still be charged. This is because we have limited entertainers and we have specifically held that spot for you. We have organised everything to ensure our prompt attendance to your event.

 

We understand that wet weather, extreme heat and various other factors can impact any event. We will work with you to find a fair solution in all cancellation circumstances but please understand that we have committed to attending your event and have ensured our professionally skilled entertainers have committed to your booking. Once committed to your event, we turn down many other work offers and it makes it very difficult to obtain other work with last minute cancellations.

 

Thank you for your understanding that as a professional and honest business we must adhere to our cancellation policy.

DO YOU DO DO NIGHT TIME PARTIES?

Our Entertainers will attend parties up until 7:30pm. If you have booked more than 1 Entertainer they will be able to attend your party up until 8:30pm. All bookings that conclude after dark require a chaperone supplied by the client to escort the Entertainer/s to their vehicles.

DO YOU TAKE LAST MINUTE CHILDREN'S ENTERTAINMENT BOOKINGS?

I BOOKED FAR IN ADVANCE, WILL YOU CONFIRM CLOSER TO THE EVENT DATE?

One of our Little Party Faces fairies will call you the week of your event. They will call to confirm your event and all the important details such as the address, available parking,  the number of children attending and any other factors that will ensure the smooth running of your event. This is also your opportunity to ask any questions you may have. You can discuss if you’d like to incorporate cake singing during their time with you. If in doubt, don't ever hesitate to give us a call or drop us an email.

 

WHAT SHOULD I DO IF WEATHER IS GOING TO AFFECT MY EVENT?

Arrangements will need to be made if you are worried about rain or extreme temperatures. You must inform us immediately if the party location has changed. Please keep your new party location close to the original suburb you initially gave us to allow for a smooth transition with any logistics and travel time. Please read our cancellation policy if you are deciding to cancel.

 

TRAVEL

 

HOW FAR DO YOU TRAVEL?

We travel to most suburbs of Melbourne & Victoria! While we would love to come to every single party, we are limited by time and travel to the more remote areas of Melbourne. We will always try to service more remote locattions. Please note a small travel fee may apply for some locations. Please enquire directly for a quote if you are unsure.

 

DO YOU ENTERTAIN AT PARKS OR OTHER VENUES BESIDES HOUSES?

Yes absolutely! We travel to any type of venue your party is located. We also use top quality portable Bluetooth speakers so there is no need for access to power. Please do your due diligence and check with your local council for any parties held in public places.

 

THE DAY OF MY PARTY

 

WHAT DO I NEED TO SUPPLY?

We bring everything we need for the all the activities included in your party package.  We bring our own battery operated Bluetooth speakers so there is no need for access to power.

Our Entertainers are humans and it is our responsibility to ensure they are safe, comfortable, and out of the weather. For this reason we ask for you to provide the following:

​

- SPACE: please provide enough physical space for our Entertainer/s to move about, sit down, stand up and perform.  Keep them out of doorways, tight spots, and off difficult terrain. Our Entertainers are professionals, but they are also performing in costumes and doing their best to be the best so please help make their time as comfy as possible

- WEATHER: Our Entertainers get soggy when wet and they easily overheat in their fabulous costumes,  so please keep them out of the weather, keep them cool if it's hot, or warm when it's cold or dry when it's wet. 

- FACEPAINTING: provide 1 x adult sized tables and 2 chairs so they can set up their painting kits and sit comfortably while face painting.  We all need to ensure they are not bending or leaning awkwardly or leaving it open for work place injury. It's all about health and safety when it comes to our Entertainers.

- BALLOON TWISTING: balloons can easily pop in the sun, so set up your balloon twisting space in a covered or shaded area

- PAMPER:  provide 2 tables & 2 chairs for our Entertainers and enough seating for your guests to sit comfortably

- GLAMOUR:  provide 2 tables or  bench tops & 4 chairs for our Entertainers and enough seating for your guests to sit comfortably

- FIRE & PONY: please allow enough space out the front of the event (2-3 car spaces) to allow for parking of supplier vehicles

 

WHAT CAN I DO TO MAKE SURE THE DAY GOES AS SMOOTHLY AS POSSIBLE?

There are a few things that always helps the day out. It is greatly appreciated if you can reserve/provide a close parking spot for your entertainer, so she will not have to fight to find parking and walk far. It also helps that the party starts at the time it is supposed to. Have water available for the character to drink throughout your party. Try to get the kids ready and get them together right before the character arrives, so she can get into the activities with the children right away. 

 

You are welcome to serve food during your character's time there, as they can do face painting or balloon twisting while the rest of the children are occupied and eating. Please be sure to discuss this with your entertainer when they call you during the week of your booking with a specific time that you are planning to serve the food. This is so they can plan out there time with you to ensure you get as much as you can from our time with you.

 

If you are planning an outside party, make sure the area is guarded from heat/sun, or from any wet weather. A rug or blanket for the little ones to sit on is always great. Have a clean, dry, shaded area for activities. 

​

Please be mindful of your entertainer's conditions on the day also, ie provide shade/cool environment if it is a hot day or let them know ahead of time if they won't be under cover so they can slip slop slap before their arrival! If rain is forecast be sure to allow for cover so as to not damage our beautiful costumes.

 

WHEN DOES THE PARTY HOST ARRIVE?

Your children's entertainer will arrive 5 minutes early for their minimal set up and be ready to go as soon as they arrive. Professional face painters will arrive 15 minutes early.

Sometimes traffic and roadworks do happen as we often travel from one side of Melbourne to the other in the same day, this may delay your entertainer and they may need a small 15 mins arrival window. They will always let you know with a phone call or text message so it's helpful to keep your phone handy in case so you are not worried. We will always perform for the full time we are booked from our arrival, so no one will miss out!

WHAT ABOUT PHOTOS?

Photos may be taken by us during the event for promotional purposes. These photos will not identify the child’s name, age or residence. Please let us know if you have a child in attendance that cannot have their photo used for promotional purposes
