Read the Little Party Faces Terms and Conditions to understand our party booking policies, cancellation guidelines, entertainer responsibilities, and important information for your kids' party or event in Melbourne. TERMS & CONDITIONS PRIVATE BOOKINGS The following Terms & Conditions apply to every booking made with us, Little Party Faces Pty Ltd. By making a booking with us the client is agreeing to have read, understood and agreed to the following terms and conditions. 1. Private Bookings 1.1 A deposit of $100 is required to secure private bookings, and a 50% deposit is required to secure corporate bookings. Bookings using any of our suppliers may require a larger deposit which will be discussed upon booking. All payments can be made via the link included in the confirmation email sent from the Little Party Faces bookings team. 1.2 Confirmation of acceptance of the Private Event Booking Confirmation Email is considered acceptance of the Terms & Conditions contained herein. Payment of the deposit is considered acceptance of the Terms & Conditions contained herein. 1.3 If a deposit is not requested then acceptance of our quote is deemed as entering into a contract with Little Party Faces and subject to the Terms & Conditions contained herein. 1.4 Deposits are non-refundable if the booking is cancelled within 14 days of the event date. 1.5 Payment for custom items such as digital invites and party boxes are not refundable. 1.6 The remaining balance is 6 days prior to the booking. Payment must be received in full at this time or the event will be cancelled and any funds paid thus far will be forfeited. 2. Payment 2.1 A payment link will be emailed to the client for the securing deposit and final payment. 2.2 Confirmation & payment of the deposit is deemed as the client’s agreement to pay the full amount quoted, by the due date. 2.3 With confirmation of the booking, you accept liability for any expenses incurred by the company in attempt to obtain payment of any overdue amount. This can include, but is not limited to, additional fees for overdue amounts and debt collection agency fees. 3. Cancellations - Private Packages 3.1 If you cancel your booking within 14 days or less of your booking time you will forfeit your $100 deposit. Any payments made on top of your deposit will be converted to a credit note for use within the following 18 months. 3.2 If you cancel your booking between 7 days and up to 48 hours before your booking, you will not be eligible for a refund. 50% of the party fee will be forfeited (50% cancellation fee) with the remaining balance paid as a credit note valid for up to 18 months. 3.3 If you cancel your booking within 48 hours of event you will not be eligible for a refund or credit. 3.4 If you cancel your booking prior to 14 days of your booking you will be eligible for a refund minus the 2.2% surcharge 3.5 Refund monies will be returned to the original payment source eg credit card. Credit Notes expire after 18months and are not redeemable for cash. 3.6 Corporate client cancellation terms differ from private bookings and will be provided upon request 4. Changes to Bookings - Private Packages 4.1 As costumes require repairs, maintenance and replacement from time to time, we reserve the right to send an alternative costume to what is represented on our website. 4.2 Very rarely, the entertainer that has been assigned to your booking may find themselves in an emergency situation that prevents them from being able to attend your event. This may be due to unexpected illness or other happening beyond their control. Little Party Faces will always endeavour to send a replacement entertainer is sent to your event and will communicate with you to let you know if such a change has occurred. 4.3 Rescheduling Policy If you need to reschedule a confirmed booking, we will do our best to accommodate your request, subject to availability. Bookings may be rescheduled a maximum of two (2) times only, and a rescheduling fee will apply each time a booking is rescheduled. A $50 rescheduling fee (per reschedule) applies to any changes made between 14 days and 72 hours prior to your event. A $150 rescheduling fee (per reschedule) applies to any changes made within 72 hours of your event. Rescheduling on the day of the event is not permitted and will be treated as a cancellation under our cancellation policy. If we are unable to find a suitable new date and you choose to cancel instead, our cancellation policy will apply, and no refunds will be issued where applicable. Once a booking has been rescheduled two (2) times, any further request to change the date will be classified as a cancellation, and the full booking amount will be forfeited with no refunds. If you later decide to cancel a rescheduled booking, the cancellation policy will still apply based on the original booking date, not the rescheduled date. 4.4 Any package downgrades within 14 days of your booking are not refundable. 4.5 Corporate client reschedule terms differ from private bookings and will be provided upon request 5. Our Services 5.1 Little Party Faces entertainers are highly experienced & professional and will always go above and beyond to keep all the children engaged and entertained for the entirety of your booking. On rare occasions this may not be possible and Little Party Faces does not take responsibility for this, such as when there are distractions at your chosen venue like play equipment, where there is a very broad age range and the much younger or much older children choose not to take part or there are more than the recommended number of children per entertainer per booking (which is no more than 20 per entertainer), which impacts how effectively they can keep all the children entertained and engaged. For this reason, Little Party Faces requires the client to contact us with any changes or updates to the event numbers, locations, times etc to ensure we can provide the contracted service. 5.2 Our character performers are not the same as our impersonators. Our character performers may not look exactly like the characters they play, but they bring a similar spirit, energy, and excitement to your celebration. The focus of this service is on creating a fun filled, memorable and special environment where kids can immerse themselves in games, laughter, and pure joy. We like to ensure this is clear so we can meet your expectations. 6. Travel and Parking 6.1 A travel fee will be applied to your booking per Entertainer based on the booking location. 6.2 Any parking costs associated with ensuring your Entertainer can park within a safe and reasonable distance from the venue is to be covered by the client. This includes any fees incurred via metered parking, carparking fees or fines for overstaying the parking limit beyond the Entertainer’s control. Please inform Little Party Faces prior to your booking if there is paid or metered parking so we can arrange payment, or the appropriate car parking passes to ensure your Entertainer is not delayed by issues caused by non-disclosure of parking limitations and costs. 6.3 For events finishing after dark the client is required to provide an escort to the Entertainer’s vehicle for their safety. 7. Insurance 7.1 Little Party Faces has Public Liability Insurance up to $20,000,000. We can provide you a certificate of currency on request. Little Party Faces is insured to provide Children’s Entertainment only. The company, our staff and our entertainers are not insured as Child Care Workers or Carers and parents/caregivers must supervise children at all times. The client is responsible for the safety and wellbeing of all guests at the event and Little Party Faces will not be held responsible or liable for any guest’s safety and wellbeing. 7.2 All our Entertainers have current Working with Children Checks. 7.3 Little Party Faces will not be held liable for any injury, damage or loss of property caused, during, before or after the event to any property, guest, or uninvited guest. The company takes precautions to ensure our work, equipment and activities are performed in a safe manner and in sound condition. 7.4 Little Party Faces often uses and distributes products with our children’s entertainment, including, but not limited to, prizes such as small toys and lollies, balloons, wrist bands, and temporary tattoos. The Entertainers cannot be held responsible for the safe use or ingestion of these products and any injury, illness or damage they may cause. The parents/caregivers and client are responsible for the safety, wellbeing and supervision of children with any product, at all times. 7.4 Little Party Faces uses quality products and materials, including FDA approved and non-toxic face paint such as TAG and Face Paints Australia. For more detailed information regarding our face painting products and materials, please contact us directly. 8. Limitations on Liability 8.1 Little Party Faces will not be held responsible for the behaviour of any child or other person attending your event. We reserve the right to cease entertainment at the discretion of the entertainer, if the behaviour of any child or event guest becomes unacceptable, or if there is any unreasonable risk of harm to the entertainer, other children or event guests. 8.2 You agree that either yourself or another nominated adult will remain present for the duration of the event, and will be responsible for the supervision of the event and that you will advise Little Party Faces of who that supervising adult is prior to the commencement of the entertainment. 8.3 You agree that Little Party Faces will not in any way be liable to you or to any other person for any damage, loss or injury suffered by yourself or any other persons while participating in the booking, however such damage, loss or injury, may be caused, whether by our act, default, omission or negligence and you agree to indemnify Little Party Faces in respect of such injury, loss or damage. 8.4 You agree to notify Little Party Faces of any special requirements of any child or event guests, including but not limited to allergies or other mental, emotional or physical issues, which may affect the entertainment we choose to provide, and you agree to indemnify Little Party Faces in respect of any claim which may arise as a result of your misrepresentation or failure to make such a disclosure. 8.5 You agree that while Little Party Faces may assist by making arrangements for hire of other equipment, including but not limited to fire trucks, pony rides, petting zoos, inflatables, mechanical rides, soft play & catering, Little Party Faces is entering into agreements with those suppliers on behalf of you and you agree to indemnify Little Party Faces in respect of any injury, loss or damage suffered by any child or event guest in relation to such equipment. 9. Damage / Lost Equipment and Hire Items 9.1 The client accepts full liability for any loss to, or damage of Little Party Faces equipment whether done so by the client, a guest, or any other person in the client’s care/home/venue. The client agrees to pay the full cost of replacing or repairing the specific equipment. Little Party Faces will send the client an invoice for the amount to replace the item and the client must pay this invoice within 7 days. 9.2 The client accepts liability for any expenses incurred by us in our attempt to obtain payment of any overdue amount. This can include, but is not limited to, additional fees for overdue amounts and debt collection agency fees. 10. Prohibited Conduct Policy 10.1 Little Party Faces does not tolerate any type of workplace violence committed by or against our workers. For the purposes of this policy, our workplace extends to the premises at which we are providing entertainment as we are a mobile business and includes any and all communications such as phone calls, emails and text messages. Examples of such behaviour include, but are not limited to, being verbally abusive or making any kind of threat, yelling, swearing or speaking disrespectfully, displaying aggressive or hostile behaviour that creates a reasonable fear of injury to another person or subjects another individual to emotional distress, intentionally damaging property or personal items, committing acts motivated by, or related to, sexual harassment, causing any type of physical injury to another person. 11. Right to Refuse Service Policy 11.1 Little Party Faces reserves the right to refuse service and enforce our terms and conditions to any person that has breached our Prohibited Conduct Policy. Examples of this include, but are not limited to, refusing to speak with any persons over the phone or refusing to provide our services at any party or event. 11.2 Any breaches of the Prohibited Conduct Policy that cause Little Party Faces to cease providing our services and to leave the premises will be deemed a cancellation on the part of the customer and no refunds will be given. 12. Hazards, Inclement or Severe Weather & Natural Disasters 12.1 It is a requirement under the OH&S safety guidelines to eliminate the risks associated with outdoor work so far as is reasonably practicable. Hazards associated with outdoor events can include, but are not limited to: traffic & pedestrian movements. ultraviolet (UV) radiation exposure. adverse weather conditions (for example, lightning, rain, strong winds, ice, temperature extremes). If your event will put our Entertainers at risk of such hazards, it is a requirement that you change the location of the event. For example, if you have planned a party in the park yet rain or extreme heat is forecast then you will be required to move the event out of the weather so that our entertainers are out of the rain, or protected from the heat. 12.2 If you are unable to relocate your event to a safe, dry venue protected from the elements we reserve the right to stand our employee down from attending your event. Please note in these circumstances our Cancellation Policy will come into effect. CORPORATE CANCELLATIONS A 50% deposit is required at time of booking to secure your booking. The remaining balance is due 14 days prior to your event. Cancellations: More than 14 days’ notice: 50% deposit is retained. 7–14 days’ notice: 50% deposit retained + 50% of remaining balance payable. Less than 7 days’ notice: Full booking fee payable. Rescheduling: More than 14 days’ notice: deposit retained and used as credit for 12 months, no extra fees. Less than 14 days: treated as cancellation. Weather (Outdoor Events): If cancelled within 48 hours, full fees apply. Entertainment can be moved indoors or to another suitable space on the day. On-the-day changes or no-show: Full fee applies if entertainment cannot proceed due to client delays or access issues. Check out our Frequently Asked Questions for everything you need to know about booking party entertainment, cancellations, event details, and how Little Party Faces brings the fun to kids birthdays, corporate events, and special celebrations. FREQUENTLY ASKED QUESTIONS TRAVEL HOW FAR DO YOU TRAVEL? We travel to most suburbs of Melbourne & Victoria! While we would love to come to every single party, we are limited by time and travel to the more remote areas of Melbourne and beyond . We will always try to service more remote locations. Please note a small travel fee applies for all locations. Please enquire directly for a quote if you are unsure. DO YOU ENTERTAIN AT PARKS OR OTHER VENUES BESIDES HOUSES? Yes absolutely! We travel to any type of venue your party is located. We also use top quality portable Bluetooth speakers so there is no need for access to power. Please do your due diligence and check with your local council for any parties held in public places. THE DAY OF MY PARTY WHAT DO I NEED TO SUPPLY? We bring everything we need for the all the activities included in your party package. We bring our own battery operated Bluetooth speakers so there is no need for access to power. Our Entertainers are humans and it is our responsibility to ensure they are safe, comfortable, and out of the weather. For this reason we ask for you to provide the following: - SPACE: please provide enough physical space for our Entertainer/s to move about, sit down, stand up and perform. Keep them out of doorways, tight spots, and off difficult terrain. Our Entertainers are professionals, but they are also performing in costumes and doing their best to be the best so please help make their time as comfy as possible - WEATHER: Our Entertainers get soggy when wet and they easily overheat in their fabulous costumes, so please keep them out of the weather, keep them cool if it's hot, or warm when it's cold or dry when it's wet. - FACEPAINTING: provide 1 x adult sized tables and 2 chairs so they can set up their painting kits and sit comfortably while face painting. We all need to ensure they are not bending or leaning awkwardly or leaving it open for work place injury. It's all about health and safety when it comes to our Entertainers. - BALLOON TWISTING: balloons can easily pop in the sun, so set up your balloon twisting space in a covered or shaded area - PAMPER: provide 2 tables & 2 chairs for our Entertainers and enough seating for your guests to sit comfortably - GLAMOUR: provide 2 tables or bench tops & 4 chairs for our Entert ainers and enough seating for your guests to sit comfortably - FIRE & PONY: please allow enough space out the front of the event (2-3 car spaces) to allow for parking of supplier vehicles WHAT CAN I DO TO MAK E SURE THE DAY GOES AS SMOOTHLY AS POSSIBLE? There are a few things that always helps the day out. It is greatly appreciated if you can reserve/provide a close parking spot for your entertainer, so she will not have to fight to find parking and walk far. It also helps that the party starts at the time it is supposed to. Have water available for the character to drink throughout your party. Try to get the kids ready and get them together right before the character arrives, so she can get into the activities with the children right away. You are welcome to serve food during your character's time there, as they can do face painting or balloon twisting while the rest of the children are occupied and eating. Please be sure to discuss this with your entertainer when they call you during the week of your booking with a specific time that you are planning to serve the food. This is so they can plan out there time with you to ensure you get as much as you can from our time with you. If you are planning an outside party, make sure the area is guarded from heat/sun, or from any wet weather. A rug or blanket for the little ones to sit on is always great. Have a clean, dry, shaded area for activities. Please be mindful of your entertainer's conditions on the day also, ie provide shade/cool environment if it is a hot day or let them know ahead of time if they won't be under cover so they can slip slop slap before their arrival! If rain is forecast be sure to allow for cover so as to not damage our beautiful costumes. WHEN DOES THE PARTY HOST ARRIVE? Your children's entertainer will arrive 5 minutes early for their minimal set up and be ready to go as soon as they arrive. Professional face painters will arrive 15 minutes early. Sometimes traffic and roadworks do happen as we often travel from one side of Melbourne to the other in the same day, this may delay your entertainer and they may need a small 15 mins arrival window. They will always let you know with a phone call or text message so it's helpful to keep your phone handy in case so you are not worried. We will always perform for the full time we are booked from our arrival, so no one will miss out! WHAT ABOUT PHOTOS? Photos may be taken by us during the event for promotional purposes. These photos will not identify the child’s name, age or residence. Please let us know if you have a child in attendance that cannot have their photo used for promotional purposes .
